Notice of 2025 Annual General Meeting & Nominations for 2026 Committee Positions.
The Annual General Meeting of the Mini Car Club of NSW will be held at 7:30pm on Friday, 10th October 2025 in the Quarry room at the Vikings Sports Club, 35 Quarry Rd, Dundas Valley, NSW.
One of the main items of business will be to determine the Club’s 2026 Office Bearers and Committee Members.
To facilitate this, we need to call for nominations for these positions and from the responses then determine which positions and candidates will be the subject of a vote.
As provided for in sub-clauses 20(3) & 20(7) of our Club’s Constitution, where the Secretary receives a single nomination for a specific position by the deadline date, that position will be deemed to be filled and no further voting will take place.
Where the Secretary has received no nomination for a specific position by the deadline date, that position will be declared vacant and expressions of interest in that vacant position may be received at the AGM. Interested parties should familiarise themselves with and understand the responsibilities of the relevant position’s Job Description as outlined in the Clubs Constitution. If the Committee decides to fill that vacant position, the responsibilities of the Job become agreed through the members acceptance of that position.
In cases where the Secretary receives more than one nomination for a specific position by the deadline date, sub-clause 15(8) of the Constitution requires a ballot be held for that position.
If a vote is required to determine any 2026 Committee positions, members present at the AGM will be asked to take part in the election of the Club’s 2026 Office Bearers and Committee Members through a vote.
The first step in this process is to request Nominations for Office Bearer and General Committee positions for the 2026 year.
The Agenda for the Club’s Annual General Meeting and a Committee Nomination Form 2025 are attached to this email. The Nomination Form includes the appropriate instructions for completion.
Correctly completed Nomination Forms must be received by the Secretary by no later than 8:00pm Monday 6th October 2025. A scanned copy attached to an email is acceptable. Nominations received after this deadline will not be considered.
A Returning Officer will be appointed by the committee for this AGM and this officer will not be an office bearer or committee member. If you are interested in assisting in this position, please contact me directly.
